As of 2026, Berlin parents should start contacting KiTas (Kindertagesstätten, daycare centres) 12 to 18 months before the desired start date, request the KiTa-Gutschein (childcare voucher) at most 9 months and at least 2 months before care begins, and budget 6–8 weeks for the Jugendamt to issue it. Start in pregnancy if you want a spot when your child turns one.
Why timing decides everything
Berlin has a legal right to a KiTa spot from age one under §24 SGB VIII — in fact, Berlin law guarantees a spot from the first day of life. But "right to a spot" is not the same as "right to your favourite KiTa." In central Bezirke like Pankow, Mitte, and Friedrichshain-Kreuzberg, popular KiTas have waiting lists of 100+ children for 10–15 annual openings. Late applicants get a spot — just not the one they wanted, often in a Bezirk they don't know.

The month-by-month plan
This assumes your child is due around month 0 and you want a KiTa spot starting around month 12 (the most common scenario). Adjust if you plan to return to work earlier or later.
Pregnancy: months -9 to -1
Months -9 to -6 (early pregnancy)
- Create a Service-Konto Berlin account at service.berlin.de so you're ready to use the KiTa-Navigator.
- Open the KiTa-Navigator and browse by Bezirk. Bookmark 15–20 candidate KiTas.
- Check policies: some KiTas accept Vormerkungen (inquiries) for unborn children, others won't speak to you until birth.
- Decide on your Bezirk radius. The Berlin courts treat ~30 minutes of public-transport travel as zumutbar (reasonable), so don't restrict yourself to your block.
Months -6 to -3 (mid pregnancy)
- Send your first round of Vormerkungen via the KiTa-Navigator (max 10 simultaneous per child).
- Email another 5–10 KiTas directly with a short intro: family name, due date, desired start, hours needed (Halbtag / Teilzeit / Ganztag / Erweitert).
- Tour 3–5 KiTas that already accept pre-birth visits.

Months -3 to -1 (late pregnancy)
- Confirm your Anmeldung at the Berlin Bürgeramt for your address — you'll need an updated Meldebescheinigung for the Gutschein.
- Pre-fill the KiTa-Gutschein application so you only need to add the birth certificate after birth.

Birth: months 0 to 2
- Register the birth at the Standesamt within one week and request 3–5 certified copies of the Geburtsurkunde (birth certificate). You'll need them for the Gutschein, Kindergeld, Krankenkasse, and more.
- Add your newborn to your registration via the Bürgeramt.
- Send a short "baby is born, still interested" update to every KiTa you've contacted.
Months 3 to 6 (active search phase)
- Tour your shortlist in person. Most KiTas hold Tage der offenen Tür (open days) in spring; book early.
- Track every contact in a spreadsheet: KiTa, contact date, response, tour booked, decision date, follow-up.
- If responses are thin, expand the radius and add Kindertagespflege (Tagesmütter / Tagesväter — home-based childminders).
Months 6 to 9 (commit and apply for the Gutschein)
Apply for the KiTa-Gutschein
- Earliest: 9 months before care begins.
- Latest: 2 months before.
- Processing time: 6–8 weeks at the Jugendamt of your Bezirk.
- Apply before you have a signed KiTa contract — you need the voucher to sign.
Required documents (typical 2026 list):
- Completed Gutschein application (online form, printed and signed)
- Geburtsurkunde of the child
- Meldebescheinigung showing the child's Berlin address
- Passport or ID of both parents (and Aufenthaltstitel for non-EU parents)
- Proof of working hours or study (for care above Teilzeit / 5–7 hours/day)
- IBAN for the food-fee direct debit (Verpflegungsbeitrag)
Submit to the Jugendamt of the Bezirk where your child is registered — not where the KiTa is.
Months 9 to 12 (sign and prepare)
- Once you have the Gutschein and an offer, sign the Betreuungsvertrag (care contract) with the KiTa.
- Agree on the Eingewöhnung (Berliner Eingewöhnungsmodell) start date. Plan 4–6 weeks during which one parent must be available daily.
- Coordinate the last weeks of Elternzeit and the first weeks of work.
- Buy: 2–3 sets of indoor clothes for the KiTa cubby, outdoor gear for Berlin weather, a labelled water bottle, and any "comfort object" requested.
Month 12 and beyond
- Eingewöhnung begins. Expect tears — from everyone.
- File any unused Elterngeld claims and update Krankenkasse with the new childcare situation.
- Set a reminder: the Gutschein is usually issued for the full pre-school period, but you'll need to renew when hours change (e.g., shifting from Teilzeit to Ganztag).
Common mistakes that cost months
- Waiting for birth to start applying. By the time you have a Geburtsurkunde, the best Bezirke are full for the next intake cycle.
- Only applying through the KiTa-Navigator. Many KiTas keep their real waiting list offline. Email and call.
- Restricting to one Bezirk. Pankow, Mitte, and Friedrichshain-Kreuzberg are the hardest. Lichtenberg, Marzahn-Hellersdorf, and Reinickendorf have shorter lists.
- Requesting the Gutschein too late. With 6–8 weeks processing, a contract that needs to start in September means an application no later than early July.
- Forgetting to update your Anmeldung. If your child isn't registered at your current Berlin address, the Jugendamt can reject the Gutschein.
- Not budgeting for the food fee. €23/month per child (waived with berlinpass-BuT). Set up the SEPA mandate when you sign.
